Making A Purchase Ordering

A minimum order value of £5.00 + P & P applies to all orders.

A contract only comes in to force when the buyers credit/debit card is charged or cheque is cleared. No other communication or action should be considered as such.

All prices are in pounds sterling and include VAT where applicable. Prices shown are subject to change at any time and at our discretion due to taxation and supplier price changes. Any altered prices will be confirmed at time of order before payment is taken.

Payment is accepted from most major credit cards via our secure server. Payment can also be made by cheque or postal order (which must be cleared before despatch of your order) made payable to "Rail by Mail Ltd" You will need to select pay by card or pay by cheque at the checkout stage of your transaction.

A non-refundable deposit may be required for items that we have to specially order for you.

We reserve the right to refuse any transaction to any person for whatever reason at our discretion.

You can cancel your at any time prior to dispatch and receive a full refund unless we have had to specially order the item for you. In these cases a restocking fee of up to 25% may be incurred. You can also add to or amend your order at any time prior to dispatch all we ask is that you let us know as soon as possible.

Any refunds will be made in Pounds Stirling and applied to the credit /debit card used at the time of ordering. If the order was paid for by Cheque or Postal Order the refund will be made by Cheque.

Safety

All items sold are unsuitable for children under 36 months old. Some products are only suitable for certain age groups and you are advised to check all safety notes and instructions on or within the packaging supplied.

Privacy

Rail by Mail is registered under the Data Protection Act 1998 and as such will not disclose any customer details to any third party with the exception of our bankers for the approval of credit card transactions and our shippers/couriers for the delivery of your goods. All customer information is for the use of Rail by Mail only and is collected in accordance with the Data Protection Act 1998. Address and contact details are required for the processing of your order(s) and will remain on our files for future reference although no credit card details are kept by Rail by Mail.

Customer Service

We aim to provide you with a first class service at all times, however we understand that sometimes things can go wrong and we fall below this aim. If we do let you down we ask that you let us know so that we can have the opportunity to rectify any complaint and improve our service in the future. We will respond to all complaints or questions within 48 hours of them being logged. Our contact details can be found on the "contact us" page of the web site.

Shipping And Handling Shipping, Postage and Packing

We aim to dispatch all goods within 72 hours of an order being placed. All in stock items will be despatched this time. Out of stock items will be placed on back order and aimed to be despatched within 7 working days. We will inform you of any delay as soon as possible at which point the order can be cancelled by either party. No payment will be taken from the customer until the order is ready for despatch.

If most of your order is in stock we may part send these items if requested. Out of stock items will be dispatched as soon as possible. Additional shipments of the same order will not generally incur further postal charges.

All orders are sent by second class Royal Mail parcels and will generally arrive 3 - 4 days after despatch. We can not be held liable for any loss or inconvenience caused by later than normal delivery.

Standard UK Postage Cost: £5.00 for orders up to 1KG, £6.00 for orders up to 2KG except: Channel Islands, Scottish Highlands and Islands, Northern Ireland and the following post codes: AB, DD, DG, EH, FK, G, HS, IV, KA, KW, KY, ML, PA, PH, TD and ZE where postage will cost £10.00 for orders up to 2KG. At present we do not process overseas orders.

Due to the fragile nature of model products we ensure every order is safely packaged

Once we have dispatched your order we can not be held responsible for any item being: Delayed, Lost or Damaged in the post. We are also unable to track your order after despatch with Royal Mail.

Next Day delivery is available for in stock items from £8.00 per order or for remote areas from £12.00 per order. This service is tracked and will require a signature upon delivery. Please contact us if you require this service.
Delivery Schedule We deliver your order right away. We will normally send your order to you in <days> business days . International orders are generally received in under <days> days.

Back Orders If your item is not in stock, we will back order the item(s) for you. You will always be emailed with the option to cancel your order if you would rather not wait.
Tax Charges All orders are VAT free.
Credit Card Security When the order is placed at our website, credit card numbers are encrypted using 128 bit encryption. They are only decrypted after they reach our computer. They are not held in clear text on any web site.

Privacy Policy Rail by Mail do not disclose buyers' information to third parties other than when order details are processed as part of the order fulfilment. In this case, the third party will not disclose any of the details to any other third party.

Returns Policy
Returning items is as easy as if you bought them in a shop. If you need to return any item you have purchased please contact us by telephone or e-mail in the first instance, quoting your invoice/order number.

All items should be returned by Royal Mail 2nd class post or by Parcel Force if over 2kg. Please ensure you obtain a "Proof of Postage" from the Post Office who will give you a receipt free of charge. We cannot be held responsible for items being lost or damaged in the post.

Please enclose a covering letter outlining the reason for the return and what action you would like us to take. Please also quote your invoice/order number. Alternatively send a print out of any e-mail you have sent us regarding your return.

If only one item is damaged we will normally only require the damaged item to be returned rather than the whole set or pack as this reduces postage costs and means there is less chance of the other items being damaged.

Faulty or incorrectly supplied goods will be replaced or refunded as appropriate including postage costs, on condition they are returned as above. We will not repay costs of Recorded, special or courier delivery.

Wrongly ordered or unwanted items will be exchanged, refunded or a credit note issued if returned unused and undamaged (including packaging) within 14 days of receipt. Damaged or used items will not be refunded and neither will postage charges on such returns.

Any items returned incomplete, including packaging will not be refunded.

Specially ordered items may be subject to a re-stocking fee of up to 25% of the item value

All items remain the property of Rail by Mail until paid for in full.

All items are subject to availability and may be withdrawn at any time. We do not only list the items we have in stock but the range of items available from our suppliers. Some items are due to be released at certain times of the year by the manufacturers. All quoted release times are approximate and subject to change without notice.

All descriptions, photographs, pictures and illustrations are for guidance purposes only. Some details may differ from those stated, for example locomotive and rolling stock running numbers. Confirmation of details can be sought at time of order.

All pre-owned items are sold as described and without guarantee.
